Admin Assistant/Receptionist

Give ‘Em A Brake Safety is seeking an Administrative Assistant in our Grandville office to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include primary operator for multi-line phone system, providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills, have the ability to multi-task and be well organized. Pay starts at $16/hr. as well as employee quarterly bonuses.

• Answer and direct phone calls
• Maintain call log
• Update phone extensions and cell phone list for all branches
• Process sales orders once daily
• Scan and upload payments, letters, and other contract documents in 2.0 system
• Distribute faxes
• Match credit card receipts to statement and create accounts payable spreadsheet
• Order office supplies and postage, create POs and match packing slips
• Maintain office supply inventory and research pricing for supplies
• Restock office copy machine paper each morning
• Restock various items throughout office, break room, conference room and lobby
• Clean conference room after meetings
• Copier repair contact: call for any maintenance needs, follow through with repair person
• Maintain break room and conference room cleanliness
• Clean office surfaces three times per day
• Upload and maintain Covid-19 sign-in sheets
• Order Friday breakfast from McDonalds
• Turn off coffee pots and lights, lock filing cabinets at 5:00pm
• Empty trash in break room daily and pop cans as needed
• Assist all departments with mailing and filing projects
• Miscellaneous tasks as assigned

• Proven experience as an administrative assistant or office admin assistant
• Punctuality is a must
• Working knowledge of office equipment, like printers and fax machines
• Proficiency in MS Office (MS Excel and MS Word, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Ability to handle fast paced work environment
